Role summary
The Assistant Manager is a key member of the Family Office team, with responsibility for the provision of administrative support and relationship management to an established and varied client portfolio. The role holder will be expected to undertake more complex and/or significant transactions, and to supervise and act as a mentor to more junior members of the team.
Key Responsibilities
- Take ownership for the delivery of general administrative activities within your designated client group, always delivering quality service to the highest standards, and ensuring other more junior team members operate to the same level.
- Liaising with clients, client advisors and bankers where required, as well as with third parties such as lawyers, auditors, property and investment managers.
- Preparation of emails, including responses to client queries, in addition to the production of letters for review by management. Delegate activities to more junior team members where possible, ensuring the maintain adequate oversight.
- Remain cognizant and understand the deadlines for statutory filings, ensuring the timely filing of relevant documents, whether through your or other team members, in line with internal policies.
- Take accountability for data quality and maintenance, ensuring you and other members of team are updating systems etc. in real times.
- Partner with the client accounting team to ensure clear communication on client expectations so that deadlines can be planned and met accordingly.
- Lead in complex transaction management, including the acquisition and/or disposal of property, as well as private equity investments and other asset activity
- Attendance at client meetings where appropriate, reviewing any minutes or actions from these meeting to ensure they are accurate and closed out.
Other Responsibilities
- Oversight of the client on-boarding process including the collation of due-diligence, contributing where required, in line with relevant group procedures.
- Partner with centralised support teams and build positive relationships, including payments and data administration, to ensure and embed the operating model and ensure work is performed by the right teams at all times.
- Perform other duties as necessary to support the team and wider business and generally act in the best interests of the division by supporting team members;
- Ensure accurate and timeline recording and submission of personal time recording activities, as well as direct reports, in line with deadlines and procedures.
- Take a disciplined approach to reviewing WIP ensuring ad-hoc fees are considered and applied where appropriate. Review invoices and support distribution to clients.
Skills & Experience
- Hold a relevant Tertiary Degree/ Diploma /Professional qualifications – LLB, BCom LLB and Admitted Attorney or equivalent;
- Minimum of 3 years’ experience working in the financial services industry, with experience working with Family Office clients a distinct advantage.
- Solid understanding of good governance and associated practices, including trust and company structures, and relevant statutory laws.
- Ability to develop and coach more junior members of the team,
- Strong communication skills to engage at all levels and develop internal and external business relationships.
