Company Secretarial Assistant, Administration – Guernsey
Role summary
Altum is looking for a Company Secretarial Assistant to join our Guernsey team on a full-time basis. This position is suitable for candidates with previous experience in an administrative or company secretarial role, preferably within a legal, corporate services or regulated environment. The ideal candidate will have an understanding of corporate governance principles and regulatory requirements, together with strong organisational and time management skills. They will be highly detail-oriented, professional and discreet, with the ability to manage competing priorities and meet deadlines. Strong written and verbal communication skills are essential, alongside proficiency in Microsoft Office. The successful candidate will be proactive, adaptable and comfortable working collaboratively with colleagues, clients and professional advisers. As a key part of Altum’s first line of defence, they will be expected to follow all relevant policies and procedures and promptly highlight any unusual or suspicious matters identified within the client portfolio.
Key responsibilities
Company Secretarial
- Meet & greet clients, coordinate meeting facilities
- Organise client board meeting dates and corporate calendars
- Prepare and distribute board agendas and board meeting papers.
- Attend board meetings, prepare board minutes, record & monitor action items
- Maintain statutory records and file statutory documents ensuring compliance with relevant regulations
- Assist with the ongoing development of effective corporate governance frameworks
- Liaise with clients and professional advisers
Administration and Operational Support
- Payment processing on behalf of clients
- Assist in the development and implementation of administrative procedures and processes to improve efficiency
- General administrative support to the team as needed
Skills & Experience
- Prior experience in an administrative or company secretarial role, preferably within a legal, corporate secretarial, or regulated environment.
- An understanding of corporate governance principles and regulatory requirements would be beneficial
- Excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines
- Exceptional attention to detail and accuracy
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong written and verbal communication skills, including the ability to communicate effectively with colleagues and external stakeholders
